Privacy Policy
Effective October 4, 2026 · How UnitSquad handles information used to provide and protect the service.
Overview
UnitSquad is property-management software for owners and property managers. This policy explains the categories of information UnitSquad may process, why we use it, and the choices available to users. It applies to the UnitSquad website, manager application, guest-link workflows, communications features and payment workflows.
Information we collect
Depending on how UnitSquad is used, we may process account and workspace information; property and unit records; tenant, applicant and vendor contact information; lease, rent, payment and expense records; maintenance requests; inspection and condition information; documents and photographs; email, text-message and voice communications; call recordings or transcripts when enabled and lawfully used; guest-link submissions; device and security information; and content submitted to AI-assisted features.
How we use information
We use information to provide requested features, organize property operations, authenticate users, route and document communications, create and reconcile payment requests, secure accounts and data, maintain records, troubleshoot and improve the service, communicate about UnitSquad, prevent abuse and comply with applicable legal obligations. UnitSquad does not sell personal information for advertising.
Information from tenants, vendors and other guests
An owner or property manager may send a scoped UnitSquad link for a specific task, such as a maintenance request, inspection, condition report, rent payment or document workflow. Information submitted through that link is provided to the workspace that requested it and becomes part of its property-management record.
Communications and AI automation
When a workspace enables communications features, UnitSquad may receive, send, route, summarize, classify or draft email, SMS/text and voice communications on behalf of that workspace. AI may be used to understand a request, extract relevant details, prepare or send an operational response, create a maintenance or payment record, or route the matter to a person or vendor according to workspace rules. Communications and related metadata may be retained with the applicable property, unit, tenant, vendor or work record. Workspace users are responsible for configuring these features lawfully, including any consent, disclosure, recording, messaging or opt-out requirements that apply to their communications.
Rent payments and financial information
UnitSquad may use Stripe to let a workspace connect its own merchant account and collect rent by supported payment methods, including bank debit or card when available. Payment credentials such as full bank-account or card numbers are entered into and handled by Stripe rather than stored directly by UnitSquad. UnitSquad may retain payment-related records such as the amount, due date, tenant contact information, connected-account and transaction identifiers, payment link, status, timestamps, failure information and reconciliation history so the payment remains connected to the correct unit and tenancy. When a connected account holder provides personal data in connection with Stripe payment services, Stripe receives and processes that data in accordance with Stripe's Privacy Policy.
Service providers
We use technology and infrastructure providers for functions such as hosting, authentication, database and file storage, email, SMS and voice communications, payments, security and AI functionality. Those providers may process information only as needed to provide the relevant service to UnitSquad or the workspace using the feature. We may update our providers as the product develops.
AI-assisted features
When an AI-assisted feature is used, information needed to complete that task may be processed by the configured AI provider. This can include content from maintenance requests, documents, photos, emails, text messages, call transcripts and related property records when relevant to the requested automation. UnitSquad is designed to minimize unnecessary data sent to AI services and to keep privileged credentials on the server. AI should not be the sole decision-maker for consequential housing decisions.
Security
UnitSquad uses safeguards intended to protect information, including authenticated manager access, row-level database access controls, private file storage, scoped guest links, hashed guest-link tokens, time-limited file access and server-side credentials for AI, communications and payment providers. No online service can guarantee absolute security. More detail is available on our Security page.
Retention
We retain information for as long as reasonably necessary to provide the service, maintain legitimate operational, payment and security records, meet legal obligations and resolve disputes. Backup copies may remain for a limited period after information is removed from active systems.
Your choices and responsibilities
Workspace owners and managers control the property-management information and automation settings they place in UnitSquad and are responsible for having an appropriate basis to collect and process information about tenants, applicants, vendors and others. Account holders may contact UnitSquad regarding access, correction or deletion requests, subject to applicable law and legitimate record-retention requirements.
Children
UnitSquad is a business property-management service and is not directed to children. Users should not knowingly submit information about a child unless it is reasonably necessary and lawful for a legitimate property-management purpose.
Changes to this policy
We may update this policy as UnitSquad develops or legal requirements change. We will post the current version here and update the effective date when material changes are made.
